The COVID-19 outbreak has an impact on all of us in the EMS community. An increasing number of EMS professionals are at the front lines are preparing and reacting to the COVID-19 outbreak worldwide.
Due to the continual spread of the virus and in effort to prevent spreading, the EMS Leadership Network has taken the decision to postpone the European Emergency Medical Services Congress, EMS2020, until April 2021.
This decision has been taken in order to prioritise the health and safety of all delegates, faculty, partners and volunteers.
We are pleased to announce that the new dates for the Congress will be 19-21 April 2021. We look forward to you joining us in 2021. The Congress website will be updated in the coming days to reflect the rescheduled dates. Current registrations will be transferred to the new Congress dates.

Why is the Congress postponed?
The EMS Leadership Network has been closely monitoring updates and recommendations from the World Health Organization (WHO) as well as the Scottish Government. We have also been actively following travel advisories and restrictions being placed on health care providers and hospitals and institutions globally. The health, safety and well-being of our participants, staff, exhibitors, faculty, volunteers and other stakeholders is of paramount importance. With an increasing number of EMS professionals at the front lines of preparing and reacting to the COVID-19 outbreak worldwide, it is in the best interest of everyone to postpone the congress.
Where & when will EMS2021 be held?
EMS2021 will take place in Glasgow, Scotland 19 – 21 April 2021, at SEC Centre, Exhibition Way, Glasgow G3 8YW, UK
Will my visa still be valid for the new dates?
Please check the validity dates on your VISA. Unfortunately, you may have to apply for a new VISA.
Is my registration valid for the rescheduled dates?
All registrations will automatically be transferred to the new dates.
I am unable to attend the Congress on the new dates; can I transfer my registration to a colleague?
Yes, registrations can be transferred to a colleague or other attendee free of charge. Please reach out to for assistance or simply login to your existing registration and make the name change directly in the registration system.
I am unable to attend the Congress on the new dates; can I get a refund?
If you cannot attend the congress on 19-21 April 2021 and therefore wish to cancel your registration, we will refund you the registration fee less a EUR 40 administration fee. (covering the expenses for administration of the refunds and banktransfer fees.) Please email for a refund of your paid registration fee. Refunds will be made within 4-6 weeks of receiving the request.
Credit card refunds will be made to the credit card used for the original payment. For bank transfer refunds, remember to send your bank details including SWIFT and IBAN number with your refund request.
For how long is it possible to have my registration refunded due to the postponement of EMS2020?
For refunds due to the postponement of EMS2020, you must inform no later than 1 June 2020. After this date, the updated cancellation policy will apply, and a cancellation fee of EUR 100 will be deducted if you cancel your registration.
What is the updated cancellation policy?
You may cancel and receive a refund of your congress fee less a cancellation fee of 100 EUR if the cancellation is received no later than 18. January 2021. Cancellation of registration must be notified in writing to the registration office at . Please note that payment fees will not be refunded.
Can I be refunded in my ‘own’ currency?
No, refunds will be made in the currency used for the original payment.
My employer funded my registration fee, but I paid my own Social Dinner with a credit card. Can I have separate refunds?
I am not sure if I can attend the Congress on the new dates just yet. What should I do?
If you are unsure which the best option for you is, you can choose to transfer your registration now, but will still have the option of cancelling and receiving a refund on your delegate fee less a cancellation fee of EUR 100 up until 18 January 2021.
Will there be a new early bird registration date?
Yes, the deadline for early bird registration for the rescheduled Congress is 21. January 2021.
I already paid the standard rate for my registration which I would like to transfer to the rescheduled congress. Can I get a refund from the difference between my already paid fee and the early bird rate?
ACCOMMODATION & TRAVEL
I have booked hotel through Glasgow Convention Bureau. Should I cancel this myself?
Can I postpone my hotel reservation through Glasgow Convention Bureau to the same hotel prices?
Will the Congress cover cost for flights and hotel made by my employer or myself?
Unfortunately, the Congress cannot refund individual travel costs. Please contact your airline and hotel directly regarding booking cancellations or rescheduling. If you hold a travel insurance, please contact your provider for information and next steps.
I’m holding a non-refundable and non-changeable flight ticket and/or hotel reservation (booked directly through the homepage of the airline and/or hotel or through an OTA (hotel.com, expidia.com or similar). Neither the hotel, airline, OTA nor the insurance company will accept to reimburse the costs as the Congress is postponed and not cancelled. What should I do?
The Congress cannot be held responsible for financial engagements taken by third parties. However, the Congress can provide an official letter of postponement to support your refund claim towards the third party.
EXHIBITION AND SPONSORSHIP
My company is unable to attend as a sponsor/exhibitor the Congress on the new dates; can I get a refund?
If you cannot attend the congress on the new dates and therefore wish to cancel your attendance as a sponsor/exhibitor, we will refund you the full amount less any associated payment fees. Please email for a refund of your paid fee. You will be refunded the full amount minus EUR 40 in administration fee. Refunds will be made within 4-6 weeks of receiving the request.
For bank transfer refunds, remember to send your bank details including SWIFT and IBAN number with your refund request.
For how long it is possible to have my sponsorship/exhibition booking refunded due to the postponement of EMS2020?
My company have already ordered expo equipment via the official expo partner, GES, can it be cancelled, amended or will my order be on hold until next year?
As the event is postponed until next year, all exhibitor orders will be cancelled and fully refunded. If you still require the order you will need to place this again. GES is working on getting the web shop created and the order forms updated.
My company have arranged shipping with DB Schenker, can it be cancelled, amended or will my order be on hold until next year?
All exhibitor orders for the new dates will be rearranged.
We have ordered expo materials and arranged shipping from an external supplier. What should I do?
The Congress cannot be held responsible for financial engagements taken by third parties. Please send your change request directly to the third party for clarification.

Will my abstract still be accepted to present on the rescheduled Congress dates?
All accepted abstracts will be offered the opportunity to present in the same format as currently confirmed at the rescheduled Congress.
Please note that if you withdraw your abstract or cancel your current registration, you will lose your guaranteed presentation slot.
What happens if I want to publish my work between now and the rescheduled dates?
If you publish your work as an abstract or a full article before the rescheduled Congress, then you will need to withdraw your abstract as soon as you know it will be published.
Will the abstracts selected for publication in BMJ Open still be published?
The abstract book will no longer be published in May 2020 instead a revised version will be planned in line with the rescheduled Congress dates. If your abstract was accepted for publication, your abstract will be included in the new supplement as long as you are still registered for the Congress.
If you cancel your registration, then your abstract is not guaranteed to be included in the new abstract book. If you want to withdraw your abstract and resubmit at a later date, your abstract will be re-considered and re-marked alongside any new submissions that come in.
Will new abstract submissions be accepted for the rescheduled Congress?
We expect to open for new abstract submissions for the rescheduled Congress shortly. More information including a deadline for new submissions will follow as soon as available.
Will I be able to amend my accepted abstract?
If you want to amend your abstract, you will need to withdraw it and resubmit it to be remarked when submission re-opens. More guidance on the best way to do this will be available when submission re-opens.
Please note that a withdrawal and resubmission will mean that you will lose your guaranteed presentation slot and your abstract will be re-considered and re-marked alongside any new submissions that come in. If you have small updates to your abstract, then you can reflect these in the content of your poster or oral presentation.
Will the Congress cover production costs related to already produced posters?
Unfortunately, the Congress cannot cover the production costs of posters printed before the time of postponement.
What should I do with my hotel booking?
If your hotel booking was arranged by the Congress, rescheduling of your hotel booking will be automatically handled by our team.
If you managed your travel and hotel arrangements personally, please get in touch with your hotel directly explaining them the situation. You should be able to reschedule your bookings for free.
Will the cost of my prearranged travel still be reimbursed?
Please contact your travel provider in the first instance to confirm whether a rescheduling or refund is available due to the current climate. If this is unsuccessful and you have travel insurance, please check to see if you are covered for any flight rebooking fees.
If this is not possible, we will honour our commitment to reimburse travel costs for invited Faculty up to the amount stated in our reimbursement policy. Further information will be sent to you in the coming days with instructions on how to claim this. Please contact the Congress Secretariat at for further information.
Will my invitation to be part of the Faculty remain in place for the rescheduled Congress?
We aim to retain the high-quality programme currently in place and the Congress Secretariat will be in touch with individual speakers regarding their invitations.
Are confirmed EMS2020 Championship teams automatically qualified for the postponed Congress?
Yes, confirmed teams are qualified for the rescheduled Congress and their registrations will be automatically transferred. Any changes to the composition of the team i.e. change of team members will be made without any cost.
If you have been accepted as a volunteer at the EMS2020 you will automatically be a volunteer for the EMS2021 if you still want and are able to! Unfortunately, we will not be able to refund any travel arrangements you have made, but we will be working on establishing an opportunity of reimbursing your flight at the congress in April 2021.
Please let us know if you still want to be a volunteer at the EMS2021 by Tuesday 1st December 2020.
I have been granted a media accreditation for EMS2020. Will this still apply for the rescheduled Congress?
Yes, media accreditations for the Congress will be valid for the rescheduled dates.
